Qualtrics Surveys, formerly Offline Surveys, is an application available for iOS and Android that allows surveys to be administered on a mobile device without an Internet connection. Responses can be collected in the field on a mobile device and then uploaded back into Qualtrics once an Internet connection is available. Multiple mobile devices can be associated with the same survey. This app is available for iPad, iPhone, and Android tablets and smartphones running Android 4.0 and later.

Use of the Offline Surveys requires the Offline Mobile App option to be enabled on the account of the survey owner. Users with accounts on the UMHS brand or the University Wide brand can send an email to msishelp@umich.edu requesting this option be enabled.

Logging in to Qualtrics Offline Surveys requires an active Internet connection. The same Qualtrics account can be accessed from multiple mobile devices.

If a Qualtrics account has access to more than 100 surveys, the app may not be able to display all of the surveys on the mobile device. In this situation, contact msishelp@umich.edu for assistance with creating a special account to use with the app. The surveys to be used with the mobile device can be shared with the special account through collaboration in order to reduce the total number of surveys.

Downloading Surveys
UMHS Brand

The UMHS brand of Qualtrics does not use any university authentication mechanisms; the service uses its own usernames and passwords. Rather than your uniqname, your Qualtrics username is your email address (either uniqname@umich.edu or uniqname@med.umich.edu).

  1. Using a web browser, log into the UMHS brand with the survey owner's username and password using the following link: https://umichumhs.qualtrics.com
  2. In the upper right corner, click the drop-down menu and select Account Settings...
  3. Beneath the row of tabs, click the Qualtrics IDs button.
  4. The second panel on the left should be identified as API and list the owner's Token. If a Token is not displayed, click the Generate Token button.

    Once the Token is used with a device, do not generate a new Token. Any devices using the old Token would need to be reconfigured to use the new Token to reestablish the connection and any data stored on the device will be lost.

  5. On the mobile device, download the app, if necessary, and then tap the Offline Surveys app icon.
  6. When the app opens, enter the Qualtrics credentials of the owner of the survey to be downloaded and tap the Save button:
    • Username: U-M email address (either uniqname@umich.edu or uniqname@med.umich.edu)
    • Password: Qualtrics password
  7. After logging into the app, the surveys owned by the account are listed. Tap the survey to download to the device (or search for the survey using the search box on the top right of the screen).
  8. In the window that appears, tap the Download Survey button.

After downloading a survey, to apply any further changes made online to the downloaded survey, simply click the Refresh button on the top left of the survey overview window.

University Wide Brand

Accounts located on the University Wide brand use U-M uniqnames and Level-1 passwords for authentication. This configuration, however, adds some wrinkles to logging into the brand using the Qualtrics Offline Surveys app. The app cannot communicate with the university directory to check login credentials, so users must instead use their Qualtrics credentials: the actual Qualtrics username and API Token.

For simplicity, if possible, use the web browser on the mobile device to access Qualtrics normally. This option allows the API Token to be copy-and-pasted rather than requiring entry by hand. If the web browser on the mobile device cannot access Qualtrics, use a computer to obtain the API token.

  1. Using a web browser, log into the University Wide brand with the survey owner's U-M uniqname and Level-1 password using the following link: https://umich.qualtrics.com
  2. In the upper right corner, click the drop-down menu and select Account Settings...
  3. Beneath the row of tabs, click the Qualtrics IDs button.
  4. The second panel on the left should be identified as API and list the owner's Token.
    • If a Token is not displayed, click the Generate Token button.
    • If on a mobile device, copy the Token.

      Once the Token is used with a device, do not generate a new Token. Any devices using the old Token would need to be reconfigured to use the new Token to reestablish the connection and any data stored on the device will be lost.

  5. On the mobile device, open the Qualtrics Surveys (or Offline Surveys) app.
  6. At the login screen, tap the user icon (head profile within a circle) twice. A Device Identifier field will appear under the Username and Password fields. Again, tap the user icon twice and two more fields will appear, Datacenter and API Token.
    • In the Username field, use: uniqname#umich (replacing uniqname with that of the survey owner)
    • Leave the Password field empty.
    • Leave the Datacenter field empty.
    • In the API Token field, paste in the Token (or type in the Token by hand).
    • The Device Identifier field can be left empty, though if multiple devices will access the Qualtrics account, identifying each device with a unique identifier can assist with troubleshooting later.
  7. Tap the Save button. The surveys owned by the account are listed.
  8. Tap the survey to download to the device (or search for the survey using the search box on the top right of the screen).
  9. In the window that appears, tap the Download Survey button.

After downloading a survey, to apply any further changes made online to the downloaded survey, simply click the Refresh button on the top left of the survey overview window.


Collecting Responses

To begin collecting responses, tap any downloaded survey and, in the window that appears, tap the Take Survey button.

When a survey response is completed, the recipient responses number will be incremented.

Surveys in the Qualtrics Offline Surveys app have a unique set of options available to customize the participant's experience. These options are all found by tapping the Manage Survey button on the bottom left of the survey overview window. See the Collecting Responses section of the Qualtrics Offline Surveys page for an explanation of each option.


Uploading Responses

After collecting responses, once the mobile device has an active Internet collection, the responses can be uploaded into to the survey in the Qualtrics account.

To send responses to the Qualtrics account, tap the Upload Responses button on the bottom right of the survey overview window.

Uploaded responses will be removed from the mobile device and become available in the View Results section of the survey owner's Qualtrics account. Uploading will also increment the uploaded responses number on the survey overview window.

Troubleshooting

Certain settings will restrict the app from uploading responses to the online account. If an "Upload Failed" error message appears, check the following settings:

  • Make sure the mobile device is using the latest version of the app. Updating the app will not delete any responses as long as no one logs out of the app.
  • Find more stable WiFi.
  • Log in to Qualtrics, select the survey, and click the Survey Options. Check the Survey Protection settings of the survey:
    • Confirm the survey is set to "Open Access" and not "By Invitation Only".
    • Make sure the following options are not checked:
      • Password Protection - The app does not allow for password-protected surveys.
      • Prevent Ballot Box Stuffing
    • If a Survey Expiration is set, confirm the expiration date has not passed.
  • If Quotas are set for the survey, make sure they are not filled.
  • If working with a collaborated survey, be sure the survey is still collaborated with the account logged into the app.
